Troubleshooting Email Deliverability and Spam Issues

If your emails sent through Pin are landing in spam folders or being blocked, there are several steps you can take to improve deliverability and protect your domain reputation.
Common Causes of Deliverability Issues
Improperly Setup Domains: SPF, DKIM, or DMARC not being properly setup
New or unwarmed email domains: Newer domains may need up to three months of gradual warm-up
High sending volume: Sending too many emails too quickly can trigger spam filters
Click tracking: URL rewriting from link tracking can increase spam risk
Long email sequences: Campaigns with 4+ emails increase negative response rates
Best Practices to Improve Deliverability
Volume and Timing Controls
Keep daily sending volume at or below 200 emails per connected email address
Increase send intervals from 2 minutes to 5-10 minutes between emails
Limit outreach sequences to 3 emails maximum
Use lower volumes for email aliases until they're properly warmed up
Content and Tracking Settings
Disable click tracking if not essential, as it rewrites URLs and can trigger spam filters
Use Pin's AI Generated Sequences and Personalized Sentence features to create word diversity in your emails
Keep email signatures simple and text-only (images aren't supported)
Email open tracking is generally safe to use
Account Management
Check that your DNS settings are setup properly. You can check these at a variety of different sites like this one. If any are not properly setup, please contact your IT admin to get them setup properly.
Use well-established, warmed domains when possible
Checking Your Current Settings
To review your deliverability settings:
Go to Connected Accounts to check which email addresses you're sending from
Review your daily sending limits and intervals
Check if click tracking is enabled in your outreach sequences
Verify that nudge automation is turned off if you don't want it active
When to Pause Outreach
If you're experiencing significant deliverability issues that could harm your domain reputation, consider temporarily pausing all outreach while you:
Switch to alias email domains to protect your main domain
Implement the best practices above
Allow time for domain reputation to recover
